The cheapest way to add online booking to your business
A practical guide to adding online booking without overpaying: free and low-cost tools, where they fall short, and when a custom booking system is worth it.
Taking bookings by phone and text works right up until it does not. Double bookings, no-shows, the endless back-and-forth to find a slot. At some point online booking pays for itself in time alone. The good news is you do not have to spend much to start. Here is the cheapest sensible path, and where it stops being enough.
Start with the free and cheap tools
If you just need to let people pick a slot, begin here before paying for anything custom.
Free or near-free
- Calendar-based booking tools let people book a time that syncs to your calendar. Free tiers cover a single service and one person well.
- Social and listing platforms (for example a booking button on your Google Business Profile or social pages) cost nothing and put booking where customers already find you.
These are the right answer for a lot of small operators. If a free tool does the job, use it. We will happily tell you to do exactly that.
Low-cost paid tools
- Dedicated booking apps for salons, clinics and classes typically run £10 to £40 a month and add reminders, deposits and multiple staff.
- Add-ons for your existing site or shop can bolt booking onto what you already have for a small monthly fee.
For most businesses, somewhere in this range is plenty.
Where the cheap route falls down
Off-the-shelf tools are brilliant until your business does not fit their template. The common breaking points:
- Odd availability rules. Buffer times, travel between jobs, different durations per service, seasonal hours. Generic tools force you into their model.
- Several things at once. Bookings and orders, deposits and memberships, multiple locations. You end up paying for three tools that do not talk to each other.
- The booking does not connect to anything. It lands in one app while your customer list, your invoicing and your calendar live somewhere else, so you are copying data by hand.
- It does not feel like you. A bolted-on widget that looks nothing like your brand quietly costs you trust at the moment of purchase.
- The per-booking fees add up. Some platforms take a cut of every booking. At volume, “cheap” becomes your biggest software bill.
When a custom booking system is worth it
A built-for-you system is worth it when the monthly fees, the manual copying and the lost bookings cost you more than the build would, or when booking is your business and the experience has to be right.
A custom system can:
- Match your exact availability and service rules.
- Handle bookings and orders together in one place.
- Sync straight to your calendar, customer list and invoicing.
- Look and feel like your brand, on your own domain.
- Run with no per-booking cut, so it gets cheaper as you grow, not more expensive.
The honest rule of thumb
Start cheap. Use a free or low-cost tool until it actively gets in your way. The day you are losing real money to its limits, that is the day a custom system pays for itself, not before.
We build booking and order systems as a fixed-scope kit you own outright, with no per-booking fees. See how it works and what it costs, or tell us how you take bookings now and we will point you to the cheapest thing that actually solves it, ours or not.
